Frequently asked questions
- What documents can Doctile recognise?
- Invoices, receipts, waybills, prepayment invoices, telecom bills and other financial documents. Doctile also reads foreign invoices, for example in English, German, Dutch or Polish.
- Which file formats can I upload?
- PDF, JPG, PNG, HEIC (iPhone photos), WEBP, TIFF, BMP and GIF. The maximum size per file is 10 MB.
- Can I try Doctile without signing up?
- Yes. Without an account you can process 2 documents per month. After free registration you get 5 documents per month, and you can create unlimited invoices.
- What if a field was read incorrectly?
- You can correct the result directly in the app using edit mode. Doctile also checks whether the line totals, VAT and grand total add up, and reprocesses the document if they don't.
- Can I upload one PDF containing several invoices?
- Yes. Doctile detects that a PDF contains several invoices and splits them into separate documents. This works on every plan.
- What happens if I upload both a receipt and an invoice for the same purchase?
- You can merge them into one transaction: select the invoice and the receipt in the dashboard and choose "Merge documents". The amount then isn't counted twice. You can also unmerge documents later.
- Does Doctile verify supplier details?
- Yes, from the Starter plan up. Latvian registration numbers are checked against the Register of Enterprises and VAT status against the State Revenue Service VAT payer register. Doctile warns you if a company is in liquidation or insolvency, if the name or address doesn't match the register, or if VAT was charged by a company that isn't a VAT payer.
- Can I also create invoices with Doctile?
- Yes. Invoice creation is available on every plan, including Free, with no limit on the number of invoices. You can download an invoice as a PDF, send it by email or, from the Starter plan up, send it as an e-invoice to an e-address.
- How do I get data into my accounting software?
- On every plan you can download data as XML or XLS for import into Jumis, Horizon, Moneo and Zalktis. On the Enterprise plan documents can be sent directly to Horizon or Jumis via API.
- What is a SEPA XML payment file?
- It is a file you import into your internet bank to pay one or several invoices at once – no retyping of IBANs, amounts or payment references. For an open invoice, download it from "Download" → "Payment file (XML)" (all plans). From the Starter plan you can select several received invoices on the dashboard and get one file for all of them. The file follows the ISO 20022 (pain.001) standard accepted by banks; after importing it you only approve the payments. Payments in another currency go into a separate file as international transfers.
- How does price analytics work?
- Doctile stores the price of every product on your received invoices and compares it with the same supplier's previous invoice. On the dashboard, "Price changes" lists products whose price changed by more than your chosen threshold (5% by default), and "Top 10 products" shows what you spent the most on in the selected period. Click a product to see its price chart. Only prices in the same unit are compared. Available from the Starter plan.
- Can I add colleagues to my account?
- Yes, from the Starter plan up. Starter includes 1 user and Business includes 3; each additional user costs €5/month. The Enterprise plan has no limit on users. All colleagues can process documents and create invoices equally – only the owner manages members and the account.
- What happens if I exceed my monthly document limit?
- Once you reach your plan’s included monthly document limit, processing stops. To keep processing documents this month, you can buy a document credit pack (30 documents for €6, or 100 for €15), or upgrade to a plan with a higher limit — whichever works out better for you.
- Do unused documents roll over to the next month?
- No. Your document allowance resets on the first day of each billing cycle and applies only to the current billing month. Purchased credit packs don't expire – any unused balance carries over to the following months.
- What is the XML e-document export feature?
- This feature converts a scanned receipt or PDF invoice into a structured XML e-invoice that can be imported into an accounting system or submitted through the relevant channels.
- How does the API work?
- The REST API gives your software, mobile app or ERP system direct access to Doctile OCR: your system sends a document and receives structured JSON data within seconds. API access is available on the Enterprise plan.
- Can I upgrade, downgrade, or cancel my plan at any time?
- Yes. You can change your plan at any time in your account settings. Upgrades take effect immediately, while downgrades and cancellations apply at the end of the current billing cycle.
- Is my data secure?
- Yes. Documents are processed in European Union data centres in accordance with GDPR, and your documents are not used to train AI models.
- Will invoices have to be sent as e-invoices?
- Yes. Invoices to Latvian state and municipal institutions already have to be submitted as structured e-invoices, and from 1 January 2028 this becomes mandatory between businesses too. With Doctile you can create an e-invoice in PEPPOL BIS format and send it to the recipient's e-address.
- What is the difference between a PDF invoice and an e-invoice?
- A PDF invoice is meant to be read by a person – accounting software has to recognise it first. An e-invoice is a structured XML file (for example PEPPOL BIS) that software reads automatically. That is why a PDF sent by email is not an e-invoice.
- What is the difference between .edoc and .asice files?
- Both are e-signature containers holding documents and their signatures. .edoc is the Latvian variant based on the European ASiC-E standard. In Latvia .edoc is the usual choice, while .asice is safer for partners abroad.
- How can I open an .edoc file without eParakstītājs?
- Drop an .edoc, .asice or XML file onto the Doctile viewer at the bottom of the page. You'll see the files inside the container and who signed it – free and without registration. Files in the old EDOC 1.0 format are not supported yet.
